Fixed Form Template

A Fixed Form locks the signing workflow (roles, order, field placements) but allows the document itself to be uploaded only when starting the signing process.

Setup

  • Go to Admin Settings → Manage Templates.

  • Click Create New Template or select an existing template.

  • Selected template can be assigned to specific departments or users for controlled access.

  • Once necessary access granted, click on Setup Template/Flexiform.

  • Upload a sample document to define signature placements.

  • Configure number of signatories, roles, and sequence.

  • Untick the Flexiform option to confirm it as Fixed Form.

  • Additional Settings (optional before activation) From the Settings panel, you may configure advanced options such as:

    • Enable automated signing for internal users.

    • Apply an attachment profile to control attachment handling.

    • Allow adding exceptional users and define their access permissions.

    • Restrict document downloads for selected participants.

    • Define attachment and comment visibility for each signatory.

  • Click Activate to lock the workflow.

Usage

  • When initiating a signing, select the Fixed Form template. Note that this template will be available only to users from mapped department or to mapped users.

  • Upload the final document for that transaction.

  • The pre-set roles, signing order, and placements are automatically applied. Additionally user can:

    • Attach supporting files if required.

    • Update or change signatory IDs.

    • Assign the appropriate signature type for each participant.

    • Configure optional settings such as reminders, watermarks, or language preferences.

  • Once these steps are completed, the template can be initiated for signing.

Use Fixed Forms when document content changes but the signing process must remain identical (e.g., recurring contracts, policy acknowledgements, standard approvals).

If the document structure is constant but field values vary, Flexiform may be a better choice.
