Signing and Downloading the Document

Once the initiator completes all required steps—document upload, signature placement, and additional workflow settings—they can proceed to sign the document by clicking Next.

The visual appearance of the applied signature is determined by the signature configuration completed in the Signature Placeholders and Fields configuration stage.

During that configuration stage, the user defines how the signature should appear on the document, including:

  • The signer’s full name

  • The signature style, such as:

    • Sample signature styles

    • Drawn signature

    • Uploaded signature image

    • Previously saved signatures (My Signatures)

Upon successful signing, a signature completion screen is displayed to confirm that the document has been signed.


Signature Completion Screen

The signature completion screen confirms the successful signing of the document and provides the following options:

  • Initiate Another Envelope Start a new signing workflow

  • Go to Dashboard Navigate back to the main dashboard

  • View Signed Document Open the signed document immediately for review


Viewing the Signed Document

When View Signed Document is selected:

  • The signed PDF opens in the document viewer

  • The applied signature is visibly embedded in the document

  • Signature details such as signer name, date, and time are displayed

  • The document is digitally sealed and protected from modification


Accessing the Signed Document from Document Store

The signed document can also be accessed later from the Document Store.

To locate the document:

  1. Navigate to Doc Store

  2. Select the Completed section

  3. Locate the signed document in the list

  4. Click View to open the document

The Completed section lists all finalized documents along with their status and signing details.


Viewing a Signed Document

Click View against a completed envelope to open the document viewer.

From this screen, users can:

  • Preview the final signed document

  • Access document-Log details

  • View signing order diagram

  • View Attachments


Available Actions on a Completed Document

The following actions are available after signing:

  • Download All

  • View Document

  • Validation Report

  • Audit Trail

  • Download XML

  • Share / Comments


Verifying the Signed Document

Downloaded signed documents can be verified using standard PDF readers such as Adobe Acrobat or other trusted verification tools.

Verification confirms:

  • Document integrity (no changes after signing)

  • Authenticity of each signer

  • Signing timestamps

  • Certificate trust chain

Any modification to the document after signing will invalidate the signature.


Audit & Compliance

  • Every action performed on the envelope is recorded in the Audit Trail.

  • The audit trail remains permanently linked to the document.

  • Signed documents remain verifiable even after download or external sharing.

  • This ensures compliance with legal, regulatory, and internal audit requirements.
