# Bulk Sign and Send - Using Templates

Bulk Upload in emSigner allows initiators to configure and initiate multiple signing workflows in a single action by uploading participant and workflow details through an Excel file. This option is especially useful when the same document needs to be sent to multiple recipients with predefined signing configurations.

> **Note:** Bulk Upload is available when initiating documents using **Flexi Form Templates.**

### Accessing Bulk Upload from a Template

From the Dashboard, navigate to the required **Flexi Form Template** from the left **Templates** panel.\
Open the template to reach the document initiation screen.

In the **Documents** panel, click **Bulk Upload (Optional)**.\
This opens the **Bulk Upload** dialog.

### Downloading the Bulk Excel Template

From the Bulk Upload dialog:

* Click **Download Excel Template** to download the predefined Excel format.
* This template must be filled and re-uploaded to proceed with bulk initiation.
* An information icon is available in the dialog to view instructions related to supported values.

### Understanding the Bulk Excel Template

The Excel template defines participant, signature, and workflow behavior for each document instance.\
Each row represents **one envelope**.

#### Common Columns in the Template

**Participant Mapping**

* **Signatory1, Signatory2, … SignatoryN**\
  Email IDs of participants mapped to signature fields in the document.

**Signature Configuration**

* **Signature\_Type**\
  Defines the signing method. Supported values include:
  * eSignature
  * Digital Signature (Token or Smart Card)
  * Country-specific signing options (for example, Qualified Signature (eIDAS))

**Authentication & Verification**

* **Authentication1**\
  Example: OTP
* **Additional\_Verification**\
  Example: Liveness Check, Demographic Verification

**Workflow Controls**

* **Reminder\_Days**\
  Reminder frequency (allowed values: 1, 3, 5, 7 days)
* **Expiry\_Days**\
  Document expiry duration (1 to 999 days)

**Security & Metadata**

* **Password**\
  Password to protect the signed document
* **Watermark**\
  Text watermark applied to the document
* **Reference\_Number**\
  Business or system reference used for tracking

Only the values supported by the template configuration should be used. Invalid values may cause upload failure.

### Uploading the Filled Excel File

Return to the **Bulk Upload** dialog.

* Click **Browse** and select the completed Excel file.
* Upload the file to proceed.

The system validates the file and prepares document instances based on each row.

### Reviewing and Sending Documents

After successful upload:

* Each row in the Excel file is treated as a separate envelope.
* Participant mapping, signature type, authentication, reminders, and expiry are applied automatically.
* Documents are initiated using the selected Flexi Form Template without manual participant configuration.

Click **Send** to initiate all valid document workflows.

### Post-Initiation Behavior

* Bulk-initiated documents are processed by the system using a scheduled job that runs at approximately 20-minute intervals. As a result, there may be a short delay between upload completion and document availability in the Dashboard.
* Each initiated document appears in the relevant Dashboard tabs (Drafts, Waiting for Others, Completed) based on its processing and signing status.
* Reference Numbers and metadata from the Excel file are visible in Doc Store and Reports once the scheduler processes the records..
