How do I configure access to permission rights for individual signatories during workflow configuration?

Step 1: Log in to www.emsigner.com using Admin user name and Password

Step 2: Click on your profile image on the top right corner, and go to “Settings”

Step 3: Click on ‘Manage workflows’ under Admin Settings

Step 4: On the Manage workflow page click on ‘Create New workflow’ or select a workflow and click on ‘Setup Template/Flexiform’.

Step 5: On the Create Template screen, click on the ‘Upload Documents’ button which will allow you to upload your pdf document(s).

Step 6: You can view the uploaded document template on the screen

  • On right-side panel, you will see Add Signatories accordion:

            Click on ‘+Add Signatory’ to add new signatories.

Step 7: Click on Signatory 1 and select signatory from the available list of users

Step 8: Click on Apply button post signatory selection

Added signatory name and Email ID will be reflected under the particular signatory position

Step 9: Signatory selection can be removed by clicking on the rounded arrow

Step 10: Repeat steps 7 and 8 for signatory 2 selections

     Note: Predefined signatory selection is a one-time activity performed during workflow configuration. Once a workflow is activated, signatories will be mapped to the workflow. Whenever this workflow is initiated by any user, the system will populate the predefined signatories by default with an option to replace with other signatories (If required).

Step 11: On each signatory, you will find configure settings icon. Click on it to open the Settings popup where you can configure the following sections

‘Signing Type’:

  • Individual: Choose signing type for a signatory as ‘Individual’ if you would like to send documents individually for signing. Each document will be sent separately for signing.

      Select a ‘Profile name’ for the signatory and click on ‘Apply’ button.

  • Bulk: Choose signing type for a signatory as ‘Bulk’ if you would like the signer to sign all the documents collectively. All the documents will be sent in bulk to the signer so he can sign it as a whole

 ‘Configure Attachment Profile’:

    Choose any one profile from the list and map to individual signatory. When signatory initiates signing, System will prompt signatory to attach the specified document as per the attachment profile

‘Configure Access Permissions:

Don’t send email notifications: when this checkbox is enabled, the signatory will not receive any email notifications specific to the workflow

Allow to add exceptional user and define access controls: when this checkbox is enabled, the signatory will be granted with access to add “Dynamic signatory” on the fly when the document is pending for his signature

Don’t allow to download documents: when this checkbox is enabled, the “download all” button and “download” icon will be disabled in all applicable screens like Dashboard, Tracker screen etc for the documents specific to this workflow

Define View Attachments/Comments access

  • In this section, admin can define whether the signatory for whom the configuration is being done can view or cannot see the attachments and comments added by the other signatories in the workflow
  • In this example, configuration is being done for signatory Anderson. Hence, admin is defining whether the Anderson@gmail.com  can see or cannot see the attachments and comments added by James@gmail.com  in the workflow.

Hide Attachment: when this checkbox is enabled, signatory cannot see the attachments added by the other signatory specific to the workflow

As per the below screenshot, configuration setting is being done for Signatory with email Id Anderson@gmail.com.

when ‘Hide attachment’ is checked against  James@gmail.com  , then whatever documents to be added by James@gmail.com as part of the workflow signing will not be displayed to Anderson@gmail.com in all applicable screens

Hide Comments: when this checkbox is enabled, signatory cannot see the comments added by the other signatory specific to the workflow

Step 12: On Create Template screen, you can drag and drop fields from the left side panel into the template.

Step 13: On hover-over of dragged field, click on the configure icon.

A “Form Field” popup window will open up to perform additional settings. Map the form filed to the respective signatory and configure additional settings

 Once the settings are defined, click the “Apply” button.

Step 14: Once the above steps are completed, click “Activate” button. You will see a message popup on successful completion.
